Service Fusion publishes three plans, Starter, Plus and Pro, and says every one of them comes with unlimited users. That makes it a different bill from per-seat software, and it pays off once your crew is past a break-even point you can calculate yourself.
Quick answer
Take the monthly price of the Service Fusion tier you need and the per-user quote from the other vendor, then solve for the head count where they meet (formula below). Count everyone who logs in, not only technicians. Ask Service Fusion for the price of each add-on you need, because the pricing page lists their names but no amounts, and the phone add-on, ServiceCall.ai, is priced per user on its own page. Set up a referral source for every ad channel before the first job is booked, or the sales report has nothing to group by.
Does the "flat rate" page mean flat software pricing?
No. Service Fusion's flat-rate page (checked 2026-10-14) is about a flat-rate pricebook powered by its partner Profit Rhino: it says you can access "over 30,000 repair types" so you can quote customers a fixed price up front instead of time and materials. The page says nothing about software plans or per-user fees.
The unlimited-users claim sits on the pricing page (checked 2026-10-14), and every plan price below comes from that page, not from a third-party summary.
What does each tier cost and add?
The page shows two price sets: billed annually, which it labels a 15 percent saving, and month to month. Every tier is marked "Unlimited Users."
| Plan | Per month, billed annually | Per month, month to month | What it adds over the tier below |
|---|---|---|---|
| Starter | $208 | $245 | Customer management, estimates and jobs, scheduling and dispatching, invoicing, integrated payments, QuickBooks integration, project management, reporting, text message alerts |
| Plus | $325 | $382 | Job photo uploads, inventory management, job costing, integrated voice and text |
| Pro | $533 | $627 | Open API integration, custom documents, eSign, customer web portal, progress billing and recurring invoicing |
On Starter, the page lists photo uploads, inventory, job costing, custom documents, eSign, the customer portal and recurring invoicing as add-ons. On Plus the add-on list shrinks, and on Pro only ServiceCall.ai and GPS Fleet Tracking remain. So moving up a tier can replace add-ons you would otherwise buy one by one.
When does unlimited users cost less than per-user billing?
Count a user as anyone who needs a login, from technicians and dispatcher to office staff and the owner. Then use this, with your own quote in place of the made-up one:
break-even users = 1 + (flat monthly price minus the other vendor's base price) ÷ the other vendor's price per added user
Below that head count the per-user plan is cheaper; above it the flat plan is. Compare at the same feature level, or the answer is meaningless.
Illustrative: every number below is made up for an imaginary 9-technician HVAC company, and none comes from a client; the only exceptions are Service Fusion's published Starter prices. The imaginary per-user vendor charges a $60 base that includes one user, plus $40 for each added user. The company has 11 logins: 9 technicians, a dispatcher and the owner.
| Line | Flat plan (Starter, month to month) | Per-user plan |
|---|---|---|
| Monthly price | $245 | $60 + 10 × $40 = $460 |
| Twelve months | $2,940 | $5,520 |
| Difference over a year | $2,580 more |
Break-even: 1 + ($245 − $60) ÷ $40 = 5.625, so with 6 or more users the flat plan wins. At 5 users the per-user plan costs $220 and is cheaper than $245. If the company paid Service Fusion annually, the year would cost $208 × 12 = $2,496. Neither total includes add-ons, payments or a price for the features the cheaper plan might lack, so add those quotes as extra rows before you decide.
What does the page leave unpriced?
The add-ons. The pricing page names them (ServiceCall.ai, GPS Fleet Tracking, the customer portal and others) but shows no amounts, while personalized onboarding is listed as included in every plan, with no separate fee. The flat-rate pricebook is not on the plan or add-on lists at all, so ask whether it costs extra.
The one add-on I found with a published price is the phone system. The pricing card on the ServiceCall.ai page (checked 2026-10-14), an image rather than text, shows $25 per user a month billed monthly, and its footnote says "Additional fee of $15 per user per month applies" without saying what for. The same page says the charges are added to your Service Fusion monthly subscription and that the standard plan includes up to 2,000 minutes per user, pooled across all active users. So the unlimited-users promise covers the plans, not the phones: price ServiceCall.ai for the people who will take calls, not for your whole crew.
Payments run through Service Fusion Payments, powered by PaySimple, according to the pricing page's FAQ. The payments page (checked 2026-10-14) gives card rates "as low as 2.90% + $0.30" per transaction, so ask which rate applies to your volume. For Canadian shops, none of these pages says whether payments or call numbers are offered in Canada, so ask before you plan around either.
Which ad produced the job?
Service Fusion documents two ways to carry a marketing source. The first is a referral source: its help article (checked 2026-10-14) says you create sources under My Office, then pick one on each estimate or job, or set it on the customer. The Sales By Referral Source report is, in the article's words, "based off jobs scheduled with that referral source," not necessarily jobs that were invoiced or paid. The article adds that the field does not fill in on its own when a job is created from the Field Worker App.
The second is a tracking number. In the marketing tracking article (checked 2026-10-14), you buy a number in ServiceCall.ai, the paid phone add-on above, link it to one referral source, and every call to it is labeled with that source.
What that setup can know is limited to those two inputs. Neither article mentions Google Ads, GA4 or Local Services, so a visitor who clicked an ad and then called your main line, or booked through a form that does not pass the source on, arrives with no source unless someone picks one by hand. I set up conversion tracking for ad accounts, and this is the gap that work closes: the software holds the job, the ad platform holds the click, and nothing joins them unless a number or a form field carries the source across. My guide to field service management software covers keeping that source on every job.
Does the QuickBooks sync need watching?
Yes, it needs a little attention. The pricing page lists QuickBooks integration on every tier and says it works with QuickBooks Online and Desktop. The reconnect article (checked 2026-10-14) says the Online connection can drop after an expired authorization, a password change or account setting updates in QuickBooks, and that while it is down, customers, products, services, taxes, fees, discounts, invoices and payments do not sync, and updates in Service Fusion do not reach QuickBooks.
Whoever keeps your books should know the reconnect path (My Office, then QuickBooks Online, then Connect to QuickBooks). My post on QuickBooks and field service software goes further into what to check.
Who owns it, and how do you leave?
Service Fusion's own company information page (checked 2026-10-14) names EverCommerce as its parent company. EverCommerce's EverPro page (checked 2026-10-14) lists Service Fusion among its EverPro solutions, next to PaySimple and Profit Rhino, the companies behind its payments and its flat-rate pricebook. Your order form names the company you actually contract with. On leaving, the pricing page says no contract and month to month but does not describe data export, so that goes on the question list.
What to ask Service Fusion before you sign
- The monthly price of every add-on I need, in writing, at my head count.
- Whether the $25 per user ServiceCall.ai price is current, what the extra $15 per user covers, and what Plus's "Integrated Voice & Text" includes without it.
- Whether the flat-rate pricebook costs extra.
- How I export customers, jobs and referral sources if I leave.
- Whether the annual payment is refundable if I cancel mid-year.
- Which card rate applies to me, since the payments page says "as low as," and how fast payouts arrive.
- Whether payments and phone numbers are available in my country.
Compare against other published plans in Jobber pricing and Workiz pricing, and use the same break-even line for each.

Frequently asked questions
Does Service Fusion charge per user?
Not for the plans. Its pricing page says 'No matter the plan you choose, you'll have unlimited users,' and that the price is the same for one technician and one dispatcher as for 20 technicians and a full office. The ServiceCall.ai phone add-on is the exception: its own page shows $25 per user a month. GPS Fleet Tracking and the other add-ons are listed without prices, so ask whether any of them scales with head count.
Is there a setup fee or a contract?
The page lists no setup or onboarding fee and says all plans come with personalized onboarding. It also says there are no contract requirements and that plans are offered month to month. Annual billing is optional and is charged as one payment at sign-up.
Is the Service Fusion flat-rate page about the software price?
No. That page describes a flat-rate pricebook, powered by its partner Profit Rhino: a list of fixed repair prices you quote to your own customers instead of billing time and materials. The software's plans and prices are on the separate pricing page, which does not list the pricebook in any plan or among the add-ons.
Can Service Fusion show which marketing source a job came from?
Its help center describes referral sources you create and attach to estimates and jobs, plus tracking phone numbers in ServiceCall.ai that are each tied to one source. It does not mention Google Ads click IDs, GA4 or Local Services in those articles, so a click that never called a tracked number or filled the field stays unattributed.
Who owns Service Fusion?
Service Fusion's own company information page names EverCommerce as its parent company, and EverCommerce lists Service Fusion among its EverPro solutions. Your order form names the company you actually contract with.
