You are pricing Practice Better for a solo or small wellness practice and the plan names do not say what you will pay. On its pricing page today the plans run from free to $155 a month, and the number that picks your plan is how many clients you have, not appointments.

Quick answer

  • Count your clients today. The plan you need follows that number, not your revenue.
  • Decide whether you sell fixed-date or ongoing programs. That choice can push you from Professional to Plus.
  • Ask Practice Better in writing what happens past the client limit.
  • Ask for the BAA, the vendor's health-data contract, before you store health details.
  • Enter your Google Analytics ID and Meta pixel in Practice Better, then test one booking.

What does Practice Better print for each plan?

The page lists five plans in US dollars, from a free Sprout plan to a $155 Team plan, and below Plus the plans differ most in client limits. The page defines that limit only as "the number of clients supported for your practice", and it does not say which clients count. The table shows what matters if you sell programs.

PlanClientsPrograms and paymentsMonthly / annual per month
Sprout3Packages and payments, no programsFree
Starter10Packages, scheduling and payments, no programs$35 / $25
Professional300Fixed-date programs, deposits, payment plans$69 / $62
PlusUnlimitedAdds evergreen and self-paced programs, templates$99 / $89
TeamUnlimitedTwo practitioners, shared calendar, team reporting$155 / no annual price shown

Every plan includes one practitioner except Team, which includes two. The annual figures are what the cards show on the Annual tab; the Team card stays at $155 there.

Practice Better's pricing page also says there are no contracts and that plans can change or cancel at any time. If you downgrade, your total number of clients must fit the new plan's limit.

What makes the bill grow?

The bill grows with extra practitioners, add-ons, text messages and card fees, and Practice Better prints a price for each. The pricing page lists these.

  • Additional practitioner: $50 a month, on Team only.
  • Additional admin user: $10 a month, on Plus or Team.
  • AI charting assistant: from $10 a month per practitioner, with extra minutes at 2 cents each.
  • Text reminders: 5 cents per text from Professional up, with 750 a month included on Plus.
  • Connector Hub: $49 a month on Plus and Team.
  • Extra storage on Professional: $1 per GB a month, up to 30 GB.

Telehealth video chat shows as included from Starter up, with no separate price.

Card payments run through Practice Better Payments, which its payments page says is powered by Stripe. That page prints a rate table by country and mentions no separate Practice Better fee.

For the US it lists 2.99 percent plus $0.30 for most online cards, 3 percent plus $0.30 for American Express, and 0.80 percent for bank debit. For Canada it lists the same card rates and 1 percent plus $0.40 for pre-authorized debit.

What does a 12-week program cost in software?

Divide your monthly plan price by the clients enrolled that month, then add the card fee on each sale, using your own numbers.

Illustrative: every number below is made up for an imaginary dietitian, and none comes from a client.

  • Plan: Plus on annual billing, $89 a month.
  • Enrolled clients in a typical month: 20.
  • Program: 12 weeks, counted as 3 months, sold for $600 in one card payment.

Software per client per month is $89 / 20 = $4.45, so over the 3 months it is $4.45 x 3 = $13.35.

The card fee on the sale, at the US rate for most cards, is $600 x 0.0299 + $0.30 = $18.24.

Software plus card fee per program sold: $13.35 + $18.24 = $31.59. If only 10 clients enroll, the software share doubles to $26.70 and the total rises to $44.94.

Can you count which ad brought a program buyer?

Partly, through two connections the pricing page lists from Starter up. Its Google Analytics integration takes your Measurement ID, the code starting with G-, and sends page views for each step of the booking page through confirmation.

Its Meta pixel integration takes your Pixel ID and fires events from viewing your services to a completed booking. That page names services, packages and programs, but the pixel covers only the team owner's services. The pages I read do not mention Google Tag Manager.

With a SKU (an item code) added, the pixel's events include the offer's name and fee. My HIPAA-conscious tracking post shows what should never cross into an ad platform.

A page view in Google Analytics is not yet a conversion in Google Ads. My post on counting bookings by level explains how a finished booking gets from the booking page into Google Ads.

Try this in ten minutes with your phone and your accounts:

  1. In Practice Better's integration settings, see whether your G- ID and Pixel ID are filled in.
  2. Open your booking link from your phone and note whether it sits on your domain or Practice Better's.
  3. Make one test booking from the button on your own site.
  4. In Google Analytics, open the Realtime report and look for the booking steps.

If the booking sits on Practice Better's domain, ask support whether a visitor from your site keeps the ad source.

What does Practice Better say about HIPAA and where it is based?

Its client portal page says the portal is built to HIPAA standards, along with PIPEDA and GDPR. Its Trust Center FAQ says a HIPAA business associate agreement (BAA) is "available upon request". These are the vendor's own claims, not a promise made to you.

Whether HIPAA applies to you is a separate question. CMS says providers who submit HIPAA transactions, like claims, electronically are covered. A cash-pay coach who bills no insurer may or may not be covered, so ask a lawyer. I am not one, and this is not legal advice.

Practice Better says it is based in Toronto. In Canada your own duties come from the Personal Information Protection and Electronic Documents Act or a provincial law, not HIPAA.

How does Healthie's entry plan compare?

Healthie's entry plan, Core, shows 10 active clients, the same number as Practice Better's Starter. Its pricing page prints these figures today.

Entry planClientsBilled annually, per monthBilled monthlyCard fee printed
Practice Better Starter10$25$352.99% + $0.30 (US, most cards)
Healthie Core10 active$18$19.99 on the card, $19 in the table2.9% + $0.30

Healthie's monthly price differs between its plan card and its comparison table, so confirm it with Healthie before comparing.

What should you ask Practice Better before you pay?

  • Which clients count toward the limit, and what happens when I pass it?
  • Can you send me the BAA before I sign up?
  • Does a program purchase fire the same Google Analytics and Meta events as a booking?
  • Does a visitor's ad source survive the move from my site to the booking page?
  • Can I export payment history as well as client records if I leave?

Questions owners ask

Frequently asked questions

Is there a free Practice Better plan?

Yes. Sprout is listed as free for students and recent grads, with 3 clients, one practitioner and 100 MB of storage. Paid plans start at Starter, and the page offers a 14-day trial on paid plans and 30 days on Team.

What happens when I pass my Practice Better client limit?

The pricing page prints a limit per plan, such as 10 clients on Starter and 300 on Professional. It does not say what happens at client 11 or 301. Its FAQ only says that when you downgrade, your total number of clients must fit the new plan. Ask Practice Better in writing whether you are blocked, billed extra or asked to upgrade, and whether archived clients count.

Does Practice Better charge its own fee on card payments?

Its payments page names Stripe as the processor, prints card rates by country and mentions no separate Practice Better fee. For the US it lists 2.99 percent plus $0.30 for most online cards and 0.80 percent for bank debit. Check the page again before you price a program.

Is Practice Better HIPAA compliant, and does it sign a BAA?

Practice Better's client portal page says the portal is built to HIPAA standards, along with PIPEDA and GDPR. Its Trust Center FAQ says a HIPAA business associate agreement (BAA) is available upon request, so ask for it before you store client health details. Whether HIPAA applies to you at all depends on your practice, which a lawyer can answer.

Where is Practice Better based, and does that change my privacy duties?

Its about page says it is based in Toronto, Canada. That does not set your own duties. In Canada, PIPEDA covers private-sector organizations handling personal information in commercial activity, and some provinces have their own laws, such as Ontario's PHIPA for health information.
