Vagaro's base subscription runs $23.99 a month for one bookable calendar in the US, plus $10 a month for each additional staff calendar up to seven. Add-ons such as a website or a text plan, and card processing fees, are billed on top of that.
Quick answer
Budget three lines, all from Vagaro's own support pages checked 2026-10-07. First, the base plan: $23.99 a month for one calendar, plus $10 a month for each of up to seven extra staff calendars; staff after that cost nothing. Second, add-ons, such as a MySite website at $20 a month or a text plan from $20 a month. Third, card processing: 2.6% plus 10 cents per in-person card under $4,000 a month, 2.29% plus 19 cents plus $10 a month above it, and 3.5% plus 19 cents for keyed-in or online payments. Billing is monthly after a 30-day free trial, with no term contract mentioned.
What does Vagaro cost for one stylist, and how does the price grow with your staff?
Vagaro publishes no named plans; one base price scales with headcount (Vagaro, checked 2026-10-07). The US base subscription is listed at $23.99 a month for one bookable employee calendar; that page flags the rate as limited-time. Each additional calendar costs $10 a month, up to seven paid add-on calendars; once a salon has paid for seven, every calendar after that is free. Canadian prices on the same page differ: $35 a month base and $15 per added calendar.
A calendar is one bookable staff member, not one chair: four stylists sharing two chairs in shifts still need four calendars.
Which setup fits your chairs: solo, team, booth rental or spa?
| Setup | Calendars needed | Monthly base, published rate |
|---|---|---|
| Solo stylist, one chair | 1 | $23.99 |
| Fitness or wellness studio, 3 instructors | 3 | $43.99 |
| 5-chair hair salon, owner plus 4 staff | 5 | $63.99 |
| Day spa, 6 providers across rooms | 6 | $73.99 |
| Booth-rental salon, 10 renters on the salon's account | 8 paid, 2 free | $93.99 |
The booth-rental row shows the cap: calendars 2 through 8 cost $10 each ($70), and 9 and 10 are free. That cap doesn't change who owns the client record inside a booth-rental shop; salon software and the card-on-file question covers that separately from price.
What do Vagaro's add-ons and card processing actually cost?
US add-on prices, from the same pricing article (Vagaro, checked 2026-10-07):
| Add-on | US price, as published | What it's for |
|---|---|---|
| Vagaro MySite (website builder) | $20/month | A custom business website synced with Vagaro's booking |
| Forms | $10/month | Digital consent forms, waivers, intake forms |
| Text Messaging plan, Small | $20/month for 1,000 credits | Text campaigns and two-way texting through Connect by Vagaro |
| Email Marketing, Medium plan | $10/month for 5,000 credits | Bulk email beyond the free 1,000-credit tier |
| Check-In App | $10/month | Self-serve client check-in at the desk |
| Branded App | $100/month (limited-time rate) plus a $100 one-time fee | A business-specific app in the App Store and Google Play |
| Vagaro Payroll | $34/month plus $5 per employee | Direct deposit and employee time off, with a Gusto integration |
| Fill My Books | A booking fee, amount not stated | Deals that promote your open slots on the Marketplace |
Standard appointment confirmations and reminders by email, text and push are available to every Vagaro business without a plan; a text or email plan is only needed to resend them or run campaigns (Vagaro, checked 2026-10-07).
Card processing depends on the merchant plan you selected when signing up for processing and on how the card is taken (Vagaro, checked 2026-10-07):
| How the card is taken | Small Merchant plan, under $4,000 a month | Large Merchant plan, over $4,000 a month |
|---|---|---|
| Swipe, dip or tap on a reader | 2.6% + $0.10 | 2.29% + $0.19 |
| Tap to Phone | 2.6% + $0.16 | 2.29% + $0.25 |
| Keyed-in, card on file, online | 3.5% + $0.19 | 3.5% + $0.19 |
| Monthly plan fee | None listed | $10 |
Keyed-in covers cards on file, online payments, recurring membership and package charges, and online Apple Pay or Google Pay; a card or phone wallet tapped in person counts as a tap. A Mastercard location fee of $1.25 a month and a variable Fixed Acquirer Network Fee (FANF) apply on both plans.
What happens during the trial, and what do you get back if you cancel?
Vagaro's trial lasts 30 days with most features on, including card processing and online booking; email marketing, text marketing and the Yelp integration end the trial the moment you turn them on (Vagaro, checked 2026-10-07). Once the trial ends, billing starts automatically on the card on file, monthly, with no stated minimum term, and the same article says Vagaro does not allow refunds on the subscription.
Only the business account owner can cancel, from Settings (Vagaro, checked 2026-10-07). Seven features, including Email and Text Marketing, Payroll and the Large Merchant plan, are billed forward: switch one off mid-cycle and it is still charged at the end of that billing cycle (Vagaro, checked 2026-10-07). Reactivating a closed account charges the subscription again, and an account closed for non-payment also pays its outstanding balance plus a $5 late fee before it restarts.
What would a 4-stylist salon pay Vagaro in year one?
Illustrative: every figure below is invented for an imaginary 4-stylist salon, built only from Vagaro's published rates above; none of it comes from a client.
The salon runs 4 calendars: $23.99 + 3 × $10 = $53.99 a month, $647.88 for the year. It adds MySite for a booking website ($20/month, $240/year) and the Small text plan for promotional texts ($20/month, $240/year): $1,127.88 in software and add-ons for the year.
The salon processes $12,000 a month in card payments on the Large Merchant plan, across 200 transactions, all swiped in the salon. Processing: $12,000 × 2.29% = $274.80, plus 200 × $0.19 = $38.00, plus the $10 monthly Large Merchant fee, for $322.80 a month, $3,873.60 for the year. On the Small Merchant plan the same month would cost $312.00 + $20.00 = $332.00, so Large saves $9.20 a month here.
| Line | Figure |
|---|---|
| Base subscription, 4 calendars, annualized | $647.88 |
| MySite plus text plan, annualized | $480.00 |
| Card processing, $12,000/month across 200 swipes | $3,873.60 |
| Year one total | $5,001.48 |
The total leaves out the Mastercard location fee and FANF. The formula to reuse: (base + $10 × added calendars) × 12, plus each add-on's monthly price × 12, plus (rate × monthly card volume + per-transaction fee × monthly transactions + any flat merchant fee) × 12.
How does Vagaro's price compare with Square, GlossGenius and Mindbody?
No winner here, just each vendor's own published price. Square's Appointments pricing page lists Square Free at $0, Plus at $49 and Premium at $149 a month per location, with in-person cards at 2.6% plus 15 cents on Free (Square pricing, checked 2026-10-07). GlossGenius lists its Standard plan at $24 a month billed annually, with a flat 2.6% processing rate across its plans (GlossGenius pricing, checked 2026-10-07). Mindbody states its US entry price at $79 a month per location for its Starter plan, with its Accelerate and Ultimate tiers quote-only (Mindbody, checked 2026-10-07); Mindbody's plans and fine print goes further.
Can Vagaro tell you which ad brought a paying client?
Only on the booking side, and only partway. Vagaro's Source report splits appointments into in-house bookings by staff and online bookings by source, such as the Marketplace, MySite, Google, Instagram, Yelp or the booking widget, drillable down to each appointment's amount paid and new-versus-returning status (Vagaro, checked 2026-10-07). "Google" there means bookings through Vagaro's Google integration, the Book Online button on Google Search and Maps (Vagaro, checked 2026-10-07), not a paid ad click.
Two documented routes reach Google Analytics 4 (GA4, Google's free website analytics). On a Vagaro MySite you paste a GA4 measurement ID, link GA4 to Google Ads, mark a key event and import it as a Google Ads conversion; the article names no booking event, only GA4's default events (Vagaro, checked 2026-10-07). On your own website, the booking widget's Redirect After Booking setting can send clients to a thank-you page that Vagaro says Google Analytics can use as a conversion page (Vagaro, checked 2026-10-07). A client who books by phone or walks in passes through neither page, so that booking never reaches GA4 or Google Ads.
Vagaro's support center has no article on a Meta (Facebook) Pixel or on UTM tags; a search of it on 2026-10-07 found none. The closest documented route is the MySite Head Code box for Google Tag Manager and other custom code (Vagaro, checked 2026-10-07), and the default MySite cookie banner blocks only the GA4 ID; other tracking tools are left to you (Vagaro, checked 2026-10-07). Nothing in Vagaro's support pages describes carrying a Google Ads click ID through a booking to an offline conversion upload, the gap crediting a booking to the ad that bought it deals with.
A Canadian salon running Vagaro's Text Marketing or Email Marketing add-on needs the recipient's consent, express or implied, under Canada's anti-spam law before sending a promotional message; a message that only confirms a booking the client already agreed to is exempt (Justice Laws, CASL s. 6, checked 2026-10-07).
Before signing, get Vagaro support to answer these in writing:
- Do my calendar count and add-ons match today's published prices, and how long does the $23.99 rate last?
- Which merchant plan, Small or Large, fits my monthly card volume, and can I switch later?
- Will a Meta Pixel in the MySite Head Code box fire on a completed booking, and will Vagaro support it?
- Does a client who calls or walks in ever show up anywhere Google Ads or GA4 can see?

Frequently asked questions
Is there a free version of Vagaro?
No. Vagaro's support pages describe a 30-day free trial; the day after it ends, the monthly subscription starts automatically on the card on file, and Vagaro states it does not allow refunds on the subscription. Its pricing article lists no free tier, so a solo stylist's cheapest ongoing option is the base subscription for one calendar.
What percentage does Vagaro take from card payments?
It depends on the merchant plan you picked when you signed up for processing and on how the card is entered. Vagaro's US processing article lists 2.6% plus 10 cents per swiped, dipped or tapped card on the Small Merchant plan (under $4,000 a month), and 2.29% plus 19 cents plus a $10 monthly fee on the Large Merchant plan (over $4,000). Keyed-in, card-on-file and online payments run 3.5% plus 19 cents on both.
Does Vagaro charge salons a fee for new clients booked through its marketplace?
Not for the listing itself: Vagaro's pricing article marks the Marketplace listing free for US, Canadian and Australian businesses, with booking fees only in the UK. The exception is Fill My Books, an optional tool that creates deals to promote your open slots on the Marketplace; the same article lists it as charging a booking fee in every country without stating the amount.
Can I cancel Vagaro mid-month and get a refund for the days I didn't use?
No. Vagaro states it does not allow refunds on the subscription, only the account owner can cancel, and features such as Email Marketing, Text Marketing, Payroll and the Large Merchant plan are billed forward, so they are still charged at the end of the billing cycle after you switch them off. Reactivating a closed account charges the subscription again, and an account closed for non-payment also pays its outstanding balance plus a $5 late fee.
Does Vagaro send booking data to Google Ads or Meta so I can see which ad brought a client?
Partly. Vagaro documents a Google Analytics 4 ID and a Google Ads conversion import for its MySite website, and a Redirect After Booking page on its booking widget that Google Analytics can count as a conversion page; its support center has no Meta Pixel article. None of its pages describe passing an ad click ID through to a paid booking, so Google Ads can count a website event, not whether that client paid.
