PracticePanther prints four plans on its pricing page, from $49 to $114 per user per month when billed annually, and each step up adds features rather than seats. Intake forms start on the third plan and the full trust and operating accounting suite on the fourth (every plan keeps a trust account ledger), so what your office does decides the plan, and firm size matters less.
Quick answer
Solo is $49, Essential $69, Business $89 and Business Pro $114 per user per month billed annually; paying monthly adds $10 per user to each. Contact and matter management, time and expense tracking, the client portal, the mobile app, a trust account ledger and online payments through PantherPayments come in every plan. If you take intake through forms or connect other apps through Zapier, price Business for every seat; if you want trust and operating accounting inside PracticePanther rather than a ledger alone, price Business Pro. On top of the subscription comes the processing rate for cards and eCheck (a payment straight from the client's bank account).
Which plan matches what my office actually does?
The pricing page builds each plan on the one before it (PracticePanther pricing, checked 2026-10-12). Pick your row by the first feature you cannot do without.
| Plan | Annual / monthly, per user | What the page says it adds | Intake and lead source |
|---|---|---|---|
| Solo | $49 / $59 | Internal chat, notifications, PantherPayments ePayments, document templates, task and event workflows | No intake forms listed |
| Essential | $69 / $79 | Custom fields, custom security roles, invoice read alerts, multiple bank accounts | Custom fields (my suggestion: add one for lead source) |
| Business | $89 / $99 | Two-way texting, intake forms, eSignature, attorney revenue report, LEDES billing (an e-billing file format some clients require); Zapier and API on the comparison table | Intake forms; the CRM page says they can ask how the person found you |
| Business Pro | $114 / $124 | PantherAccounting Plus, trust accounting, operating accounting, enhanced reconciliation, general ledger, accounts receivable and expense management | Same as Business |
The comparison table on the same page shows a trust account ledger and a three-way reconciliation report (bank statement, trust ledger and client balances checked against each other) in all four plans; Business Pro adds the accounting suite and a guided reconciliation wizard. The page does not say how many users each plan allows, and it does not say which plans include the Legal CRM that PracticePanther markets on its own page, so ask for both in writing. The custom fields cell in the last column is my own suggestion for using the feature, not a claim PracticePanther makes about lead sources.
What is the free plan for one user?
PracticePanther's support article says the free subscription is for solo practitioners and lets you use the product for your first 3 clients and matters, with no credit card needed. The article adds that you start from the 7-day trial and stay within that limit; past it you are asked to upgrade, and a user with more than 3 contacts or matters must delete the extras (PracticePanther support, checked 2026-10-12).
The article is dated July 24, 2019, and the pricing page mentions only a 7-day free trial, so confirm the free plan still exists before you count on it. If it does, use it to learn the screens. A firm with two lawyers and a paralegal is outside it from the start.
What does payment processing cost on top of the plan?
The pricing page does not state PantherPayments rates, but the PantherPayments page does. It lists 2.95% for all cards with a $0 per-transaction fee, and 1% for eCheck with an asterisk the page does not explain. It says there are no monthly or hidden fees, no setup cost and no commitment, and that card network fees may apply. Its fee table also shows $0 for membership fees, processing minimum penalties, additional trust accounts and PCI compliance, the card-security standard a processor has to meet (PracticePanther, checked 2026-10-12).
For trust money, the same page says clients can pay into a trust or operating account and that earned and unearned fees stay separated, including during online transmission. It also says funds post within 3 to 5 business days for bank payments (eCheck and ACH) and 2 to 3 for credit cards. Online payments are the one line that scales with what you collect, so it can outgrow the subscription difference between plans.
Trust accounting rules come from your own state bar, and in Canada from your provincial law society; the Law Society of BC, for one, says all lawyers who handle trust funds for clients or third parties as part of their practice are subject to "rigorous trust assurance standards" (Law Society of BC, checked 2026-10-12). This is not legal advice, and I am not a lawyer. A vendor's description of compliance is not your bar's.
What does a two-lawyer firm with a paralegal pay on Business versus Business Pro?
Illustrative: every number below is made up for an imaginary two-lawyer firm with one paralegal, and none comes from a client. Subscription prices are the published ones above.
Three users, twelve months, billed annually:
- Business: 3 × $89 × 12 = $3,204
- Business Pro: 3 × $114 × 12 = $4,104
- Gap: $4,104 − $3,204 = $900 a year, which is $25 × 3 × 12
Billed monthly the same firm pays 3 × $99 × 12 = $3,564 on Business and 3 × $124 × 12 = $4,464 on Business Pro, the same $900 gap.
Now the payments line. Suppose the firm collects $20,000 a month online, $15,000 by card and $5,000 by eCheck, on either plan:
- Cards: $15,000 × 2.95% = $442.50
- eCheck: $5,000 × 1% = $50.00
- Monthly processing: $492.50, so $492.50 × 12 = $5,910 a year, before any card network fees
Processing ($5,910) is bigger than the plan gap ($900) here. What moves your bill is how much you collect online and by which method; the plan you pick matters less. Replace the figures with your own last twelve months of receipts. The gap buys PantherAccounting Plus, the trust and operating accounting suite on top of the ledger every plan has; whether it is worth $900 depends on whether your firm's books now live in other software.
What does PracticePanther record about where a lead came from?
Its CRM page says customizable intake forms capture "how they found your firm" alongside the prospect's legal needs, that custom tags can record who referred which client and give insight into "your lead generation tactics," and that you can follow leads from first contact through consultation. Its FAQ says legal CRM software in general can "track marketing attribution," and a later section says PracticePanther's marketing features can track the success of campaigns such as webinars, podcasts or online advertising, without explaining how (PracticePanther, checked 2026-10-12). The page names no lead-source field, no web-to-lead feature and no conversion-rate report.
Its integrations page lists Zapier, and Lawmatics as a connected intake and marketing tool; it does not mention Google Ads (PracticePanther, checked 2026-10-12), and the pricing page puts Zapier and the API on Business and Business Pro only. So a signed matter will not reach your ad account on its own. Getting the signed case back to the ad click needs a click ID stored on the lead and an upload, covered in the law firm CRM field list and CRM to Google Ads offline conversions. If you are weighing a CRM built around the intake pipeline instead, read Lawmatics pricing; for another practice-management price list, Clio pricing.
What should I ask before choosing a plan?
- How many users does the plan I am quoted include, and does every seat, including a part-time paralegal, pay the full rate?
- Does the plan include the Legal CRM, and is that a separate price?
- Is the quote annual or monthly, and what happens to the annual price at renewal?
- What does the asterisk on the 1% eCheck rate mean, and which card network fees apply to my card mix?
- Which costs sit outside the plan? The pricing page includes Calendar Rules on Business and Business Pro but says it needs a LawToolBox subscription, and shows no price for that subscription.
- How much help comes with my plan? The comparison table gives Solo 1 live training and Essential 3, with unlimited trainings, VIP support and VIP website integration help from Business up.
- Can Solo hold both a trust and an operating account? The comparison table leaves Multiple Bank Accounts out of Solo.
- Can I move my trust ledger in, and can I export everything if I leave?
- Is the lead source a field I can report on, or only text on an intake form?

Frequently asked questions
How much does PracticePanther cost per user?
PracticePanther's pricing page lists four plans per user per month: Solo at $49 billed annually or $59 monthly, Essential at $69 or $79, Business at $89 or $99, and Business Pro at $114 or $124. The page says annual billing saves $120 per user per year compared with monthly billing ([PracticePanther pricing](https://www.practicepanther.com/pricing/), checked 2026-10-12).
Is there a free PracticePanther plan?
A support article titled Free subscription for one user, dated July 24, 2019, describes a free plan for solo practitioners that covers your first 3 clients and matters, with no credit card required. Once you go past that, the article says you are asked to upgrade, and anyone over the limit must delete extras to get back under it ([PracticePanther support](https://support.practicepanther.com/en/articles/479931-free-subscription-for-one-user), checked 2026-10-12). The pricing page lists only a 7-day free trial, so confirm the free plan still exists. Even then it is a capped way to try the product for one lawyer, not a working plan for a firm.
Does PracticePanther have a client portal?
Yes. The pricing page lists a secure client portal among the features included in all four plans and describes it as two-way messaging ([PracticePanther pricing](https://www.practicepanther.com/pricing/), checked 2026-10-12). Its CRM page adds that clients can use the portal for secure communication and document upload, and that invoices can be sent through it ([PracticePanther](https://www.practicepanther.com/legal-crm/), checked 2026-10-12). Ask for a walkthrough of what your clients would see.
Does PracticePanther charge a monthly fee for payment processing?
Its PantherPayments page says there are no monthly or hidden fees, no setup cost and no commitment, with a per-transaction rate rather than a subscription ([PracticePanther](https://www.practicepanther.com/pantherpayments/), checked 2026-10-12). The same page says card network fees may apply, so ask what that means for your card mix.
Can PracticePanther tell me which ad a signed client came from?
Its CRM page says intake forms can capture how a person found the firm and that its marketing features can track campaigns such as online advertising, but the page does not explain how that works or name a lead-source report ([PracticePanther](https://www.practicepanther.com/legal-crm/), checked 2026-10-12). Neither the CRM page nor the integrations page mentions Google Ads, so a signed matter does not reach your ad account on its own.
