Zen Planner's Studio plan runs from $99 a month for up to 45 active members to $289 a month for 251 or more, and the Essentials and Ultimate plans cost $99 and $249 more than Studio at every tier. The price follows the number of paying and attending members you have each month. The bill moves up in steps as the gym grows.
Quick answer
Count your active members: everyone with a membership, plus anyone who attended an event in the past month; prospects, staff, alumni and pay-per-session attendees are not counted. Find that number in the tier table below, then add $39 each for a branded app or card reader and $99 for a website. Zen Planner lists no setup fee and no long contract, but it publishes no processing rate, so ask for that in writing. The cost per member is lowest when you are at the top of a tier and highest the month you step into the next one.
What counts as an active member?
Zen Planner's tier page defines it: "An Active Member is anyone with a membership or who's attended an event in the past month." Prospects and staff are never counted (Zen Planner tiers, checked 2026-10-13).
The pricing page's FAQ adds that alumni and pay-per-session attendees are not counted either (Zen Planner pricing, checked 2026-10-13). Ask whether a drop-in or a seminar guest counts, because every tier edge is a price jump.
What does each step up cost?
Every plan includes full Studio features. Essentials adds the Website, and Ultimate adds the Website and Engage, Zen Planner's marketing and CRM tool (customer relationship management: it stores leads and sends follow-ups). The last two columns below are my arithmetic on the Studio price, not Zen Planner numbers (Zen Planner tiers, checked 2026-10-13).
| Active members | Studio | Essentials | Ultimate | Studio per member, first count in tier | Studio per member, last count in tier |
|---|---|---|---|---|---|
| 0 to 45 | $99 | $198 | $348 | n/a | $2.20 |
| 46 to 60 | $133 | $232 | $382 | $2.89 | $2.22 |
| 61 to 75 | $155 | $254 | $404 | $2.54 | $2.07 |
| 76 to 100 | $189 | $288 | $438 | $2.49 | $1.89 |
| 101 to 150 | $229 | $328 | $478 | $2.27 | $1.53 |
| 151 to 200 | $239 | $338 | $488 | $1.58 | $1.20 |
| 201 to 250 | $269 | $368 | $518 | $1.34 | $1.08 |
| 251 or more | $289 | $388 | $538 | $1.15 | n/a |
The formula is the monthly price divided by active members. At 45 members Studio is $99 / 45 = $2.20, and one more member makes it $133 / 46 = $2.89.
What happens in the month you cross a line?
The tier page gives only the brackets. The pricing page says the bill adjusts automatically each month with your active member count, while a change of package goes through your account manager (Zen Planner pricing, checked 2026-10-13). Neither page says when a new bracket takes effect or whether the month is prorated, so that is a demo question.
The jump at each edge, from my subtraction on the Studio column:
| Crossing | Extra per month for one more member |
|---|---|
| 45 to 46 | $34 |
| 60 to 61 | $22 |
| 75 to 76 | $34 |
| 100 to 101 | $40 |
| 150 to 151 | $10 |
| 200 to 201 | $30 |
| 250 to 251 | $20 |
This is why the cheapest member count sits at the top of a tier. The price is flat inside a bracket, so each added member lowers the cost per member until the line is crossed. The sharpest step is 100 to 101, at $40.
Which add-ons and fees sit on top?
The tier page lists a Website at $99 a month, Zen Planner Engage at $249 a month, a branded app at $39 a month and a Lane 3600 card reader at $39 a month. A tool already inside your plan is not billed twice (Zen Planner tiers, checked 2026-10-13). By my subtraction, Ultimate costs $249 over Studio at every tier, the price of Engage alone, so the Website and Engage together cost $99 a month less in Ultimate than as two add-ons.
The pricing page shows a New Business Bundle starting at $199 a month: Essentials plus a custom website with lead capture and a branded member app. It says Zen Planner works with preferred processors, including its in-house Daxko Payments, with no setup or gateway fee on select ones, and that onboarding, including data transfer, is free. Processing rates are not listed (Zen Planner Payments shows "Custom pricing"), and the Studio feature list notes that additional charges or fees may apply to payment processing (Zen Planner pricing, checked 2026-10-13).
A caution: a Zen Planner blog post on pricing, published May 20, 2025, says most studios pay $99 to $200 a month and that a 100-member Pilates studio might pay about $139, while today's tier table puts 76 to 100 members at $189 on Studio. The same post names workout tracking through SugarWOD as an add-on without a price (Zen Planner blog, checked 2026-10-13). Budget from the tier page and ask which figure the rep will put on the order.
Who owns Zen Planner, and how long are you tied in?
Daxko does. Daxko's home page lists the product as "Daxko Zen Planner" (Daxko, checked 2026-10-13). The "Our Story" link in Zen Planner's footer leads to Daxko's company page, which lists Zen Planner among its gym and studio software (Daxko, checked 2026-10-13). Neither site says when or how Zen Planner became part of Daxko.
On term, the pricing page says month to month with no long-term commitment, and an annual contract on request. The pricing page names no free trial, and its buttons lead to a demo booking.
What does a year of growth look like on the bill?
Illustrative: every number below is made up for an imaginary martial arts school, and none comes from a client. The only real figures are Zen Planner's published Studio prices and its $39 branded app.
| Months | Active members | Studio tier | Add-on | Monthly bill | Per member |
|---|---|---|---|---|---|
| 1 to 3 | 40 | $99 | none | $99 | $2.48 |
| 4 to 6 | 52 | $133 | none | $133 | $2.56 |
| 7 to 9 | 78 | $189 | branded app $39 | $228 | $2.92 |
| 10 to 12 | 103 | $229 | branded app $39 | $268 | $2.60 |
The year: (3 x $99) + (3 x $133) + (3 x $228) + (3 x $268) = $297 + $399 + $684 + $804 = $2,184. To rerun it, list your active members by month, look up each tier price, add any add-on, divide by members for the per member cost, and multiply by the months at that count. Here the school grows from 40 to 103 members, yet its per member cost rises from $2.48 to $2.60, because the $39 app is added and both later counts sit just past a tier line, where the cost per member is highest.
Can it show which ad brought a paying member?
Zen Planner names a lead source but does not say where it comes from. Its Engage page says inquiries from your website, social media, phone or front desk land in one place, with follow-ups triggered "based on lead source, interest, and behavior," and that its forms embed on any website (Zen Planner Engage, checked 2026-10-13). A Zen Planner blog post says CRM tags can sort leads by source, such as Google Ads, Instagram or referral, and that you can track lead source performance and trial-to-member conversion rates (Zen Planner blog, checked 2026-10-13).
None of these pages says whether that source tag is filled from the ad click or typed in by staff. None mentions a Google Analytics (GA4) connection, a Meta pixel or sending a sale to Google Ads as a conversion.
Questions for the demo:
- Does a form submission save the page it came from and the ad click code (the gclid that Google Ads adds to the link)?
- Is the source tag set automatically, or does someone on staff pick it?
- Can your own website tag run on the page that holds the embedded form?
- Can a paid membership be exported with its source?
Until you have answers, put your tracking on the website page that sits in front of the form. What a gym CRM should record goes through the fields, and gym management software asks the same question across platforms. In Canada, marketing texts and emails that Engage sends to leads need the recipient's consent, express or implied, plus sender details and an unsubscribe mechanism, under section 6 of Canada's anti-spam law (Justice Laws, CASL, checked 2026-10-13).
How do two rivals structure their prices?
From each vendor's own pricing page:
- Wodify lists three month-to-month plans with unlimited clients: Essentials at $199, Accelerate at $299 and Ultimate at $499 a month, shown as $99, $199 and $399 for gyms that book a demo by October 31; its FAQ mentions a small onboarding fee without a price (Wodify pricing, checked 2026-10-13).
- PushPress charges a flat fee per plan, not per member: Free, Pro at $159 and Max at $229, with card processing falling from 4.99% plus $0.30 on Free to 2.75% plus $0.30 on Max (PushPress pricing, checked 2026-10-13).
The structures differ. Zen Planner scales with active members, while Wodify and PushPress charge by plan, and PushPress's card rate drops on the higher plans. Which is cheaper depends on your member count and card volume, so price each one at your own numbers. If Mindbody is on your list too, its plans and fees have their own post.

Frequently asked questions
Who owns Zen Planner?
Daxko, by both companies' own sites. Daxko lists the product as "Daxko Zen Planner", and the "Our Story" link in Zen Planner's footer leads to Daxko's company page. Neither site says when or how Zen Planner joined Daxko; Zen Planner's site says it was started in 2006 by a martial arts school owner.
Does Zen Planner charge for staff and prospects?
No, according to its tier page: pricing scales with active members only, never prospects and never staff. An active member is anyone with a membership or who has attended an event in the past month. The pricing FAQ also says alumni and pay-per-session attendees are not counted, so ask how a drop-in punch card is treated.
Does Zen Planner charge a setup fee or lock you into a contract?
Neither is listed. The pricing page says onboarding is free, including data transfer, and the plan is month to month with no long-term commitment. An annual contract is available on request. Processing rates are not published, so that is the number to get in writing.
How does Zen Planner price a gym with more than one location?
The pricing page says multi-location gyms are priced on the number of locations and the active members across the business, and that an account executive gives the exact numbers in the demo. No multi-location price is published. Ask whether a member who trains at two locations counts once or twice.
Can Zen Planner show which ad brought a paying member?
Only in part, from what its pages say. A Zen Planner blog post says CRM tags can sort leads by source, such as Google Ads, Instagram or referral, and report lead source performance. No page I read says whether that tag comes from the ad click or is typed in by staff, or mentions Google Analytics, a Meta pixel or sending sales to Google Ads, so ask to see a lead from a real ad click in the demo.
